Requests

Requests Overview

The Requests section is designed for sub organizations to review and control billing changes made by their partner. It ensures that no charges or subscription adjustments are applied without the sub organization’s explicit approval.

You can find this section under: Settings → Billing → Requests

What Shows Up in Requests

Any time a partner makes a billing-related change, it first appears here for review. This includes:

  • Subscription changes – upgrades, downgrades, or switching bundle versions

  • Add-ons assigned – additional monthly features added to the subscription

  • One-time charges – setup fees, special services, or other one-time billable items

Approving or Rejecting Requests

  • The sub organization must decide whether to Approve or Reject each request.

  • Once approved, the change takes immediate effect and billing is updated accordingly.

  • If rejected, the request is canceled and no billing change occurs.

Why Requests Matter

This system protects sub organizations by ensuring:

  • Transparency – they always see what their partner is trying to add or change.

  • Consent – no new charges can occur without explicit approval.

  • Control – they can decline requests that don’t fit their needs or budget.

Partners should reference this process when explaining upgrades or add-ons to clients. Sub organizations should regularly check Settings → Billing → Requests to stay on top of pending approvals.

Requests Flow

When a partner assigns a billing change to a sub organization, it enters the Requests section. The sub organization must review it before it takes effect.

Step 1: Navigate to Requests

  1. Go to Settings

  2. Click Billing

  3. Select the Requests tab

Here you will see all pending subscription, add-on, and one-time charge requests from your partner.

Step 2: Review the Request

Each request will show:

  • Bundle name (if it’s a subscription change)

  • Monthly price, booking fee, and transfer fee (for subscription adjustments)

  • Price and description (for add-ons or one-time charges)

  • Status (Active, Pending, etc.)

  • Approval (Waiting for your decision)

Step 3: Decide

You have two options:

  • Approve – The request is immediately accepted, and the new subscription, add-on, or charge takes effect right away. Billing updates automatically.

  • Reject – The request is canceled. No changes are made and no charges are added.

Step 4: Confirmation

  • Approved requests will move into your active billing and be reflected on your next invoice.

  • Rejected requests will disappear from the Requests tab and will not affect your account.

Example Scenarios

  • Your partner tries to upgrade you to a new bundle version → You must approve before billing changes.

  • Your partner adds an add-on (e.g., extra phone line) → You must approve before it is added to your subscription.

  • Your partner assigns a one-time setup fee → You must approve before it is billed.

Key Point: Nothing is billed or changed until you approve. This ensures full transparency and control for sub organizations.
